As a full planning and design service, we’ll design your custom experience, source the best service providers, manage all logistics, and orchestrate a top-level production for a seamless experience.

Multi-Day Event Planning and Design includes:

  • Regularly scheduled pre-event planning meetings for optimizing the guest experience and maximum return on investment held with the client project lead and OneTouch events project manager
  • Site selection and liaison throughout the duration of planning & onsite management 
  • Proposal & contract management
  • Budget reviews
  • Vendor recommendation reviews and approvals
  • Floor planning & design details
  • Client & event team roles & responsibilities outline
  • Event run of show development and review
  • Unlimited correspondence between client and event planning team via our project management platform
  • Professional vendor suggestions, contract negotiations, and on-site point of contact management
  • Evaluation of existing venue and guest/attendee services
  • Event vendor selection (i.e., a/v, photography, transportation, catering, etc.)
  • Full event design services to include but not limited to:
  • Venue floor plan & design 
  • Manage procurement of event decor, purchases & rentals 
  • Handling and management of printed stationery (i.e., event signage, registration materials, etc.)
  • Creation of detailed event expense reporting process, working with client financial representative as necessary. if the event requires -onsite sales components, inputs for sales data, and profit & loss are captured in real-time. 
  • Schedule delivery & onsite assembly of all staff and attendee meeting collateral (i.e., registration materials, staff packets, marketing collateral, etc.)
  • Management of on-site attendee check-in management, working with client event volunteers or staff, as applicable 
  • Conduct as many on-site event venue visits as necessary with contracted service providers on behalf of the client to finalize event room layout and logistics, as applicable. 
  • Aide in the creation of personalized services for VIP attendees, performers, and/or speakers 
  • Exit meeting with event venue(s)
  • Review final billing from event venue(s) for correctness; remediate discrepancies, manage disputes
  • Oversee and manage event breakdown and facilitation of packing up of event supplies, materials, etc. and arrange delivery back to -client's location as requested, by courier service or assigned client team member. all post-event delivery fees will be invoiced to the client. 
  • Conduct exit meeting and assessment for next program with client within 4 weeks of an event end date, schedules permitting.

OneTouch Events’ Comprehensive Planning & Strategy fee, regardless of the final budget for this Event, is $15,000 USD. Your final invoice will reflect a 10% production management fee for the cost of all contracted vendor services.
